Rental Cloud is a property-management service operated by Link Web Development Ltd. This policy describes the information Rental Cloud processes for landlords, their authorized team members, applicants and tenants.
Information processed
Rental Cloud may store account and contact information, properties and units, leases, tenant and applicant records, payments and balances, bills and vendor records, maintenance requests, messages, uploaded documents and photos, audit/security records, and financial-account information made available through connected services such as Plaid.
Why information is used
Information is used to provide property-management functions requested by account holders: tenancy and lease administration, maintenance, communications, accounting and reconciliation, reporting, document storage, fraud/security monitoring, support, backups and service operation.
Landlord responsibility
Landlords and other account holders are responsible for having an appropriate lawful basis and any required notices or consent before entering personal information about tenants, applicants, vendors or other people. Account holders should collect only information reasonably needed for legitimate property-management purposes.
Financial connections
Supported financial accounts may be connected through Plaid. Financial-institution authentication occurs through Plaid's connection process; Rental Cloud does not ask users to enter online-banking credentials directly into Rental Cloud. Plaid's handling of information is also governed by Plaid's privacy practices.
Sharing
Rental Cloud does not sell personal information. Information may be processed by service providers needed to operate the service, such as hosting, email/SMS, financial connectivity and security providers, and may be disclosed when required by law or necessary to protect users or the service.
Access controls and security
Rental Cloud uses individual accounts, property-scoped roles, owner sign-in verification, rate limiting, audit logging, server access controls, security monitoring, backups and software maintenance. No system can guarantee absolute security.
Retention, access and deletion
Records are retained while needed to provide the service and for legitimate accounting, legal, security, dispute and backup requirements. Logged-in landlords can export core account data. Account deletion requests can be submitted from Account Settings; deletion may be delayed or limited where records must be retained for legitimate legal or accounting purposes.
Tenant information
Tenant portal users can review information made available to them, including their lease, payment history, documents and maintenance requests. Requests to correct or delete landlord-controlled tenancy records should generally be directed to the landlord responsible for those records.
